Position Purpose:

The Quality Assurance Specialist supports the quality and food safety systems of the company.  The QA Specialist manages the: customer COA systems,  customer quality sample processes, environmental sanitation monitoring program, integrated pest management program; and provides technical support to various quality and food safety programs.

Primary Job Accountabilities and Responsibilities:

Food Safety Responsibilities

  • Comply with Food Safety System Certification (FSSC); Food Safety Plan, Hazard Analysis Critical Control Point; FDA Food Safety Modernization Act standards; and Wisconsin Department of Agriculture, Trade and Consumer Protection WDATCP
  • Report food safety problems to personnel with authority to initiate action
  • Model and promote Good Manufacturing Practices (GMPs)
  • Helps develop, implement, document, train, audit and verify company, customer, and regulatory agency standards
  • Manages tasks to meet company and customer requests and needs.
    • Provides technical support and/or data analysis to drive resolution of issues relative to quality and/or food safety.
    • Drive continuous improvement in all plant quality systems to improve quality, food safety and sanitation
    • Work with QA, Food Safety Team and production to implement and improve food safety and quality initiatives and processes
    • Help maintain policies and procedures, such as GMPs, Sanitation, Pest Control, Food Safety and HACCP systems, training, allergens, operations, and other applicable programs/regulations

QA and Technical Support

  •  Maintains depth of understanding in Quality Testing System in order to be a resource in the development, enhancement, and implementation of software systems supporting QA
    • Training other departments or operators
    • Function as a technical resource for inquiries and trouble-shooting user issues
  • Quality data review and entry
    • Report deviations to QA Manager in complete and appropriate detail
  • Communication of out-of-spec results to QA Manager and begin preliminary investigation
    • Follow non-conforming product procedure; release product as appropriate
    • React with urgency to logistics if the shipment schedule could be affected
  • Coordinate Certificate of Analysis (COA) preparation and distribution to ensure timing compliance with customer
    • Maintain customer files, email contacts, and other supporting databases
  • Prepare and submit samples to customers
    • Production samples for existing customer
  • Manage the environmental sanitation monitoring program
    • Responsible for the weekly swabbing activities and sample submission
    • Plant water sampling and glycol data trending; react for corrections as needed
    • Data entry and trending
    • Works with operations to improve sanitation and maintains records of sanitation in response to testing results
  • Manage Integrated Pest Management program with Pest control vendor
  • Customer-specific sample submission, Analysis Request Form generation, and data entry as applicable
  • Mix code date updates in ROSS, bi-annual
  • Serve as Lab and QA Manager designate in the case of an extended absence by the Lab and QA Manager; will provide backup coverage as needed
  • Maintaining ROSS system QA items to ensure product testing, sampling, and COA accuracy
  • Determination and ROSS entry of characteristics for rework
  • Oversee the collection of process or quality data
  • Reviewing and analyzing for trends or problems,
  • Preparing and distributing the summary of the data to management or customers
  • Assists with managing Vendor Assurance specifications, reviews, and credentials
  • Provides support, knowledge and expertise in documentation of incidents/complaints, corrective actions, and Corrective and Preventative Action (CAPA)
  • Root-cause analysis, implementation of corrective action, and verification
  • Assists Quality Assurance Manager in continuous improvement of the:
    • Quality Assurance department
    • Quality of products
    • Quality testing, generally
  • Assist Lab & Quality Manager in lab equipment calibration/repair, as needed
    • Shipment
    • Data management
    • Reference sample preparation
    • Equipment/testing troubleshooting
  • Development and maintenance of QA and lab Standard Operating Procedures/Work Instructions
    • Revision of documents
    • SharePoint submission

Additional Support

  • Project Management
    • Participate and contribute as assigned
    • Act as responsible party or approver
  • Traceability/Recalls
    • Participate in traceability exercises of raw ingredients, packaging and finished product.
    • Assist in product recalls or withdrawals, including MOCK recalls
  • Training
    • Conduct New Hire or Annual Food Safety training as needed
    • Help with operation prerequisite programs/preventative controls training as appropriate and needed
    • Industry Analyst training as needed per Industry Analyst credentials for antibiotic testing program
    • Assist in training lab operators as situations needing clarity arise
  • Auditing
    • Responsible for assigned audit weeks in Weekly Audit rotation
    • Support QA department in preparation for customer audits
    • Participates in internal audits, customer, and regulatory audits
    • Assist in conducting off-site audits at vendor or contract manufacturer facilities
    • Conducts vendor specification updates and reviews as assigned
  • Problem Solving
    • Participate in group problem solving sessions to identify root cause and complete all follow-ups

Required Knowledge, Experience and Education: 

  • Bachelor’s Degree in Food Science, Dairy Science, Microbiology, Nutrition, Food technology or equivalent combination of education, training and/or experience required
  • A minimum of 3 years of relevant industry experience is required
  • Knowledge of GMPs, FSSC (GFSI) certification
  • HACCP and PCQI Certified preferred
  • Better Process Control School Certified is a plus
  • Proficient in Microsoft Office (Outlook, Word, Power Point and Excel)
  • Requires strong English language and interpersonal skills
